BOARD MEETING MINUTES
December 20th, 2018
BOARD MEMBERS PRESENT: Dave Young, Gretchen Stubenvoll, Amanda Small, Chan Pollock, Scott Smith
A quorum constituting the required HOA and Board members were present in person. The meeting was called to order at 6:34 pm on December 20th, 2018 at the Tuscany Tavern. The Agenda for this meeting and Minutes from the August annual meeting were approved by voice acknowledgement without discussion or objection.
- Treasury Report: Scott Smith delivered the treasurer’s report regarding financials through the end of November, 2018. Income was in line with projections, only slightly ahead due to the collection of late fees. Collections and expenses were on par with expectations. Expenses were running about $1,100 over budget year to date. Additional Grounds Maintenance activities, including extra watering, tree deadwooding, higher rates for pest control and an additional dumpster and fees to clear the high open space contributed nearly $6,000 in extra cost for the year. Much of it was made up by lower expenses than anticipated for nearly all other categories. After some discussion about the 2019 budget, to be developed in early January, the Board requested $500 be included for 2019 holiday lighting at the entrance. The Board approved the report with no objections.
- Social Committee: Amanda volunteered to develop a social calendar as a reminder of the various events throughout the year so that we may solicit volunteers to lead the various events.
- Newsletter and Contact List: The Secretary will get the updated contact info solicited by the Boy Scouts earlier this year and update the “master list”, which is to be maintained by the Secretary. The updated list will go out with the next newsletter, like January, 2019.
- Next Meeting: The Board set the date for the next Board meeting – February 26th, 2019, 6:30pm at the Tuscany Tavern.
